NextGen Automation helped SOS Children’s Village BC replace an unreliable hosted IT setup with Microsoft 365 and SharePoint. The change brought its everyday tools and documents into a more integrated environment.

About the organisation

Now known as SideBySide Children’s Village Society, the British Columbia charity supports children, youth and families with foster care experience. Founded in 1986, it developed a village community in Surrey and adopted its current name in April 2024.

For a community organisation, dependable technology supports the everyday work behind its mission: communicating with colleagues, accessing documents and coordinating services.

The challenge: disconnected tools and disruptive downtime

The charity relied on Gmail and a third-party hosted document server. Outages could last hours, interrupting work for both office and program staff. It needed a better fit for its operations.

Our approach: assess the needs, then connect the tools

We assessed the organisation’s needs and recommended Microsoft 365 and SharePoint for cloud document storage. Our team delivered the migration and provided ongoing managed IT support.

The priority was to build a setup that made sense as a whole, rather than continue adding separate fixes to a fragmented system.

The results: better communication and a simpler IT environment

In her interview, Director of Finance Rachel Dalton reported improved efficiency, better communication and a more user-friendly setup. She also described substantially less frustration from the interruptions staff had previously experienced.

“There’s just this extra level of service that goes above and beyond. That’s probably the simplest way to put it.”

What should non-profits look for in an IT partner?

Start with how your people work and where technology gets in their way. When comparing managed IT services, ask what support is included, how your needs will be assessed and how the proposed tools will work together. Clear answers give you a stronger basis for choosing a provider.
